General, accounts and sign-in #
What is BreedMap?
A breeding and lineage tracking app for any living organism: plants, fungi, animals and more. It records lineages (parents, children and generations), photos, care logs, care reminders and QR labels for each item, and publishes chosen items to a public registry. See What BreedMap is.
Can I use it now?
BreedMap is in development. Under the draft Terms it starts as a free beta; access to the beta and to publishing during the beta is by invitation only. Beta data may be reset, migrated or deleted. To ask about taking part, use the "Contact us" page or [email protected].
Who is it for?
Anyone who breeds or keeps plants, fungi, animals or other organisms and wants a clear record of lines and generations: one person (Personal workspace), a household (Family) or a business (Company).
Does it work on a computer?
Yes. In the browser, on screens at least 900 px wide, items show as a grid of cards and an item opens in a side panel or pop-up. On a phone an item opens full screen. The QR scanner works on phones only.
How do I register?
"User info" menu (your picture) > "Sign in / Register", type your email and press "Email me a code". Type the 6-digit code, your name and your full birth date, accept the Terms of Service and the Privacy Policy and press "Create my login". Steps: Sign up.
Is there a minimum age?
Yes, 15. Sign-up asks for your full birth date; it is never shown to other users. Under 15 you cannot create a login and nothing you entered is stored. A parent or guardian (18 or older) can create a kid account from inside a family account.
How do I sign in?
"User info" menu > "Sign in / Register", type your email, then "Email me a code" (always works), "Use my password" (always followed by a second step: authenticator app or emailed code), "Use a passkey" or "Continue with Google" where offered. See Sign in.
I forgot my password, what now?
On the password step press "Forgot it? Email me a code instead" and sign in with the emailed code. Then set a new one in "My account" > "Security" > "Change password" (at least 10 characters; your other devices are signed out).
Where do I change my password?
"User info" menu > "My account" > "Login & security" > "Security" > "Set a password" or "Change password". See Security.
How do I turn on two-factor sign-in with an authenticator app?
"My account" > "Security" > "Authenticator app" > "Set up": scan the code in your authenticator app (or type the key), type the code the app shows and press "Turn on". Every password sign-in then asks for the app's code. "Turn off" goes back to emailed codes as the second step.
How do I switch between my personal and company account?
Press the workspace chip in the header (or "My account" > Workspace > "Switch") and pick the workspace in "Workspaces". All your workspaces are under one login. See Accounts, workspaces and switching.
How do I switch to my second login on the same phone?
"User info" menu > "Switch account ›" and pick the saved login, or "Add account" to sign in with another email. Up to 5 logins can be saved on one device. On a device without fingerprint, face or screen lock you may be asked for that login's account PIN.
How do I remove BreedMap data from a borrowed phone?
"User info" menu > "Sign out" > "Sign out and delete local data…", then "Continue" and "Yes, delete everything". This signs you out and removes all projects, items, pictures and unsent changes from that device. Sync first if you have unsent changes. Your data on the server stays. See Sign out, delete local data, delete account.
How do I delete my account?
Signed in and online: "My account" > "Archive or delete" > "Delete account…", type DELETE and press "Delete account"; confirm it is you with a code if asked. Your login and profile (name, email, birth date, address, card, photo, @handle, sign-in methods, follows) are removed and every device is signed out. This cannot be undone.
If I delete my account, are the company items deleted?
No. Deleting your account removes you as a person, not the workspaces you worked in. Items in a family or company stay with the family or company and show you as "Former member". Items you published stay public under "Deleted user". Your Personal workspace's items stay in a workspace without an owner so other people's links do not break. Export first if you want a copy.
How do I add the demo project?
In your own Personal workspace, go to "Private" and press "Add demo project (500 stars)" (needs a connection). It is a read-only sample of about 500 items; "Remove demo project" removes it. See Try the demo project.
Where is my help assistant chat history stored?
On this device, by default. "More" > "Clear history" erases it; "Delete local data" and signing out erase it too. With "More" > "Sync chat history" on (off by default), a sealed copy is also kept on the server so you can go on from another device; it is deleted when you turn sync off, clear the history, or after 12 months unchanged. See Help and support.
How many questions can I ask the help assistant?
Free: 10 a day. Paid plans: 50 a day. The window shows how many are left. When none are left, or you are offline, "Open the FAQ" opens the written FAQ.
How do I update the Android app?
When a newer version exists, a banner says "Update available". Press "Update", then "Install" when the download is checked, and let Android confirm. The first time, press "Open settings" and switch on "Allow from this source". "Update required" means this version is no longer supported. Settings page > About > "Check for updates" checks now. See App updates and versions.
How do I contact support?
The "Contact us" page in the app or on the website, or [email protected]. From the help assistant, "Send to support" sends a question to the BreedMap team; the reply arrives in Messages.
Projects, items and your data #
I just signed up. How do I add my first plant?
Items always live in a project. Go to Private, press the New project tile, give the project a name, pick a card (for example Plant) and press Create project. The project's first item is created with it; open it and fill in the values. More items: the New item tile inside the project. See Create a project and Create an item.
How do I add offspring to an item?
Open the item and press + Add child. The new item gets this item as a parent. To link two items that already exist, press Link existing and choose Its parent or Its child. See Link items.
How do I link my item to another breeder's item?
In Link existing choose Someone else's item? Link by ID or scan, type the item ID or scan its QR label, and press Find. A published item is linked at once; the owner of a private item gets a request and has 30 days to answer. See Link items.
How many children can one item have?
There is no limit on children or parents per item. On Free the total number of linked items in the account is limited to 50.
How many items can I have on Free?
50 items in total, across all projects. Items beyond the first 50 become read-only at once: they stay visible and are not deleted. A paid plan, or deleting items, unlocks them.
How do I add a new field to my project's card?
Open an item, switch the toolbar to Edit fields, press + Add field and then Save card. The field appears on every item of the project. See Fields, cards and templates.
Can I change a field's type later?
No. A field's type (Text, Number, Date, Yes / no) is fixed when it is made. You can change its name, unit, limits and how values are entered, or delete it and add a new one. Values already written stay in each item's History.
What is the maximum size of a photo or video?
Photos (JPEG, PNG or WebP) up to 10 MB, videos up to 30 MB and 20 seconds, documents up to 20 MB, 50 files per item and 2 GB of storage per account. The same on every plan.
How do I hide a car number plate or a face in a photo?
Photo menu > Blur parts…, paint over the detail with the brush and press Use blurred photo. A blurred copy is added; remove the original when the app asks. See Photos, videos and documents.
How do I log that I fed or watered something?
On the item page, Care log > Add entry, pick the type (feeding, watering and so on), the time and a note. Entries are not edited; remove a wrong one with Remove entry and log it again. See Care log.
Does BreedMap work offline?
Yes. Changes are saved on the device at once and sent with the next sync. Publishing, Public, care reminders and the species search beyond saved names need a connection. See Sync and offline use.
What does the amber Conflicts button mean?
The same field was changed on this device and on the server. Open Conflicts and choose Keep mine or Keep server for each one.
The species search does not find my species. What now?
Type at least 3 letters and check that you are online with Taxonomy search on. Try the scientific name (genus and species) and press Enter; Enter also looks up names in other languages. If there is still nothing, choose Not found? Use my own name … (unverified). See Search.
What is the torch view?
In a public family tree the torch lights the nodes nearest the centre and dims the rest. Free lights 20 nodes and the torch is always on; click a dim dot to move the centre. Paid plans can set Nodes lit or switch the torch off. See Torch view.
Why do I see sample stars instead of my items in Constellation?
Flat and Constellation need a paid plan. On Free they show a read-only sample tree ("Demo of a Premium view"). Press Back to my tree to return to your own Tree view, which works on every plan.
Can I export my data to Excel?
Yes. Choose CSV only in an export: one spreadsheet file with items, parents and field values. Full backup (ZIP) also includes lineage, settings, care log and history, and optionally photos. See Export your data.
My export ZIP asks for a password. Where do I find it?
The app shows the password when the export is ready (My account > Data & storage; press Copy). The password and the download link work for 3 hours only; after that make a new export.
Windows cannot open my backup ZIP. What do I do?
The built-in Open and Extract in Windows do not support the ZIP's password type. Use 7-Zip, WinRAR, Keka or a similar app.
How many exports can I make on Free?
10 item exports a week, 5 project exports a month and 1 workspace export a month. Paid plans have no plan limit. A run counts as soon as you start it.

My account > Data & storage > Import > Import…, add the .zip or CSV files, type the backup's password, choose merge or new project, press Check file and then Import. Imported items start private and get new QR codes. See Import data.
Can I hand an item over to another person?
Item handover is coming later. Until then you can link items across accounts (see Link items) or export and import a backup.
Sharing and care #
How do I publish an item?
Open the item (Private > the project > the item's tile), open More ▾ and press Publish. Check the Publish preview, tick the confirmation if the item is marked as modified, and press Publish. The item must be synced first and you need the publish permission (by invitation during the beta). See Publish an item, and retract it.
Can I publish many items at once?
Yes. Tick the items in the project and press Make public. A preview lists what each one makes public; press Publish n items.
How do I take an item off Public?

Can I print labels for many items at once on Free?
Yes. The ready-made labels, also for many items at once, are included in Free. Only designing your own layouts and saving or sharing templates needs Premium.

Can I follow a person instead of one project?
Yes. Open the person's card or page and press Follow (the star). You then follow all their public projects, also new ones; they show as "Followed through" that person.
Who can see that I follow something?
Follower counts are visible to everyone. Your name in an item's follower list follows Show me in public follower lists in My account > Followed items. Seeing who follows you needs Premium; Free shows the numbers.
How do I set a watering reminder?
Open the item, press + Add care reminder under Care reminders, choose Task, give it a title such as "Water", set the time and a Repeat (for example Daily, Every 3 day(s)) and press Add. It then shows in the Care agenda with Done and Skip. See Care reminders.

How many messages can I send a day?
To people who are not your friends or contacts: 10 a day on Free, 50 on paid plans and family or company seats. Messages to friends and contacts have no limit.
Why did a message land in my Other mailbox?
The sender is not your friend or contact. The Other mailbox gets no alerts or push, and its messages are deleted after 12 months. Set Who can write to my Inbox to Anyone, or add the person as a contact, to get their messages in your Inbox.
What happens if I send a message to a kid account?
Kid accounts have no messages. Your message goes to all of the kid's guardians instead, shown as "To the guardians of <name>".
How do I block someone?
Open the conversation and press Block. The person is not told and cannot reach you. People > Blocked > Unblock undoes it.
Can I connect Home Assistant to BreedMap?

Can I hand an item over to another person?
Not yet. Item handover is coming later. Followers will stay with the item when it arrives.
Plans, workspaces and legal #
What plans are there?
Free, and the paid plans Premium (a Single User licence, one person), Family (a household, hobby use only) and Professional (for companies: Single User, Multi User and Token pool licences). Open "User info" menu > "Licence" to see yours. Plans and prices are not final. See Plans overview.
How many items can I have on Free?
50 items in total in your account, across all projects. Items beyond the first 50 become read-only at once: they stay visible and are not deleted, and only the Private / Public switch and deleting still work. A paid plan, or deleting items, unlocks them. See Free limits.
How many children can one item have?
There is no limit on children or parents per item, and no generation limit in your own account, on any plan. Free has one total: 50 linked items. Only when you link to another account's item does Free allow 7 levels of offspring below it.
What happens to my items when a paid plan ends?
Items above the Free limits become read-only: they stay visible, are never deleted, and only the Private / Public switch and deleting work on them. A new licence unlocks them.
How do I create a family account?
"Workspaces" > "Family" > "Create a family…", name it and press "Send approval email". Nothing is made until you approve from the email; the link works for 72 hours. The family has no licence until the BreedMap team adds one. See Family workspace and seats.
What is a Family ID, and where do I find ours?
A unique ID such as FAM-8H2M-31PC, shown at the top of "Licence admin" ("Copy"). Family names can repeat, IDs never do. Another person uses "Ask to join with a Family ID"; the main admin must accept. Knowing the ID alone never lets anyone in.
How many people does a Family licence include?
2 adults (full Premium seats) and 2 kids. Extra members, also extra kids, cost extra; the Licence page shows the prices. A third adult buys their own Single User licence or gets a limited seat.
What does an extra kid cost on the Family licence?
Extra kids cost extra. The Licence page shows the current prices; this wiki does not list them because they are not final.
How do I join my family's account?
Accept the invitation in "Workspaces" > "Invitations", or ask to join with the family's Family ID. You keep your own items and data; the family gets no access to your Personal workspace.
Can I see or delete my kid's items as a guardian?
No. Guardians see a kid's name, age and status in "Licence admin", never the kid's items, and can never change or delete a kid's items or data. See Kid accounts and guardians.
How do I create a company?
"Settings" menu > "Create a company", type the "Company name" and press "Create". You become the owner. See Company workspace, roles and owner.
How does the token pool work?
The owner names token users ("Add token user"). One minute of use in the company workspace opens a 24-hour window for 10 tokens; within the window nothing more is charged, also on another device. Tokens last 365 days. People who already have Premium another way use no tokens. See Company licences and tokens.
Who can do what in a company?
One owner (admins, licences, inheritor, billing; can remove anyone), any number of admins (invite members, appoint licences, remove members) and members. Only the owner can invite admins. Tools your role may not use are hidden; the server always makes the final decision.
Who owns my content, and what licence applies?
From the draft Terms (v2.7): you keep ownership. You grant BreedMap a broad licence to use your content (worldwide, non-exclusive, royalty-free, perpetual, irrevocable, transferable and sublicensable), including for operating, developing, improving and promoting the service; it survives deletion of content and of your account. For published content, other people get a licence to view it within the service only, unless you choose another licence offered in the service. See Terms of Service: summary.
What are the Terms of Service, and are they in force?
The agreement between you and BreedMap, accepted when you create an account or use the service. Version 2.7 is a draft and not yet in force. English only; the English version is binding. The Privacy Policy and the price list form part of the Terms.
How may my data be used?
BreedMap may process data for operating and developing the service, research, statistics, publication and commercial purposes, including by automated means and artificial intelligence. Breeding analytics are made only in anonymised or aggregated form, and you can object.
Should I keep my own backups?
Yes. Data loss may occur, and BreedMap has no obligation to store or back up content. Use "Export my data" regularly. See Export your data.
What is not allowed?
In short: breaking the law (controlled substances, protected species, plant health, biosecurity, CITES), unlawful or abusive content, other people's personal data without a lawful basis, revealing locations of protected or valuable organisms in a harmful way, offering or trading organisms or products (there is no marketplace), impersonation, malware, scraping or bulk downloading, and getting around limits or security.
How do I report content or object to a decision?
Email [email protected] (also the EU Digital Services Act contact point) with the URL, why the content is illegal or infringing, your name and email, and a good-faith statement. You can object to a removal or restriction by email within six months of the decision.
How do payments and refunds work?
Paid plans will be sold through a third-party reseller (a "Merchant of Record") once available. Monthly licences renew until cancelled and are non-refundable. Fixed-term licences (one, three or five years) are non-refundable, but BreedMap may refund unused whole months as goodwill, case by case. Tokens are non-refundable and expire 365 days after purchase. Refund requests: [email protected]. During the beta, plan switches and price lists are previews, not offers. See Terms of Service: plans, payments and messages.
Which law applies?
Finnish law and applicable EU law, with the courts of Finland, except where applicable law provides otherwise.
Can BreedMap read my messages?
Messages are stored on the server encrypted at rest, not end-to-end, so BreedMap could technically read them. It does not, except for a message a user reports (plus a few around it), where the law or an authority requires it, or to investigate a security incident. Message content is never used to train AI models. See Privacy: security, messages and support.
Who is responsible for my data?
The controller is BreedMap, [email protected]. The Privacy Policy (draft v2.4) is summarised on Privacy Policy: summary.
What data is collected?
Account and sign-in data (passwords only as hashes), your email address, your name (shown to others only if you choose), your full birth date (never shown to others), profile photo and address if you add them, your breeding data and gallery photos with their details, and technical data (IP address, browser and device data, a country code).
Where is my data stored?
On your own device and on BreedMap's own server in the EU. A few service providers help run the service; the Privacy Policy names them. No advertising, no third-party analytics, and your data is not sold.
What happens with photo locations?
The exact location stays private in your own workspace; others see a location rounded to about 1 km. When adding a photo you untick the details that must stay private, and you can blur parts of a photo.
Are cookies used?
The service itself sets no cookies, only the storage it needs to keep you signed in, remember interface preferences and hold the encrypted browser copy of your data, plus security cookies from the service that relays traffic. This website stores only your theme choice.
What rights do I have under the GDPR, and how do I make a request?
Access and a copy, correction, erasure, restriction, data portability, objection (including to the aggregated analytics), withdrawing consent, and a complaint to a supervisory authority. Email [email protected]; answered within one month, up to two more months for complex requests. See GDPR: your rights and retention.
How do I delete my account?
Signed in and online: "My account" > "Archive or delete" > "Delete account…", type DELETE, press "Delete account", and confirm with a code if asked. It cannot be undone. See Delete your account.
What happens when I delete my account?
At once: your name, email, birth date, card, photo, @handle and sign-in methods are removed and every device is signed out. Items you published stay public under "Deleted user"; elsewhere you show as "Former member" or "Left BreedMap". The workspaces you worked in and their items are not deleted.
If I delete my account, are the company items deleted?
No. Everything made in a company workspace belongs to the company and stays there. Your own Personal workspace's items also stay, without an owner, so other people's links do not break.
What if I stop using my account?
The draft policy says personal data is deleted after 12 months without use, with emails 30 days, 14 days and one day before; signing in stops it. This is not switched on yet.
How long are logs and backups kept?
Sign-in logs 90 days; help assistant breach log and ratings 90 days; export files 3 hours; Other mailbox messages 12 months; other logs about one month; backups for a limited time. Full table: GDPR: your rights and retention.
How are children's accounts handled?
A person under 15 can only have a kid account inside a family, added by a guardian aged 18 or over. Up to 2 guardians, who exercise the child's data protection rights until the child turns 15. Kids have no Messages and cannot link devices.
How is my data protected?
Encrypted server disks and backups, HTTPS, strong password hashes, two-factor sign-in, short-lived access tokens, a separate database schema per account and role-based access. On your device the app encrypts your data with your own key.
